Event Overview

Pink Caviar Events was engaged by Knox Grammar School to design and deliver the styling and theming for its 2025 annual themed celebration, continuing a multi-year creative partnership with the school. Each year, Knox Grammar’s event is built around a secret theme, carefully developed behind the scenes and revealed to guests only on the night.

For 2025, the theme was Mad Hatter’s Tea Party, inspired by the whimsical world of Alice in Wonderland. The concept invited guests to step into a space that felt colourful, curious and slightly unexpected, while still maintaining the high-quality finish that Knox Grammar expects for its major school events.

Knox Grammar has a long-standing history in Sydney, officially opening in 1924 after its founders purchased what became the school’s first building. Today, the school continues to hold a strong place in the Sydney independent school landscape, with a clear focus on tradition, community and student experience.

For Pink Caviar Events, this project was an opportunity to create something playful and expressive without losing structure. The brief called for imagination, but the delivery still needed to be organised, safe and professionally managed from concept through to installation.

The Brief

The brief was to create a fully themed environment that captured the eccentric charm of the Mad Hatter’s Tea Party while keeping the overall result polished and event-ready.

Knox Grammar wanted the theme to feel fun and surprising, but not messy or thrown together. The event needed to have a strong sense of arrival, clear visual moments throughout the space and enough detail to make guests feel immersed in the concept.

The styling needed to include elements such as:

  • Mismatched teacups and teapots
  • Oversized floral arrangements
  • Vintage pocket watches
  • Quirky table details
  • Colourful décor pieces
  • Statement entry archways
  • Photo moments that felt playful but considered

A key part of the brief was the entry experience. The school wanted guests to feel as though they were stepping through the rabbit hole into a different world. That meant the arrival moment needed to do more than decorate the room. It needed to set the tone immediately.

The secrecy of the theme also remained important. Because guests did not know the concept in advance, the reveal needed to feel special and complete the moment they entered the space.

The Challenge

The main challenge with a theme like Mad Hatter’s Tea Party is finding the right balance.

It is easy for a whimsical theme to become cluttered, too literal or overly theatrical. The brief required colour, movement and eccentricity, but it also needed to feel like a premium event environment.

For a school event of this calibre, the styling cannot simply be fun. It also needs to be well-controlled. The space has to work for guest movement, dining, photography and event flow. Every installation needs to be placed with care so that the environment feels immersive without creating operational issues.

The other challenge was cohesion. A Mad Hatter concept naturally includes mismatched objects, unexpected shapes and playful details. The risk is that these elements can feel disconnected if there is no clear creative direction guiding them.

Our role was to bring the chaos of Wonderland into a structured event environment. The final result needed to look imaginative, not accidental.

Our Approach

We began by developing mood boards that explored the surreal and whimsical nature of the Mad Hatter’s Tea Party. These boards were full of colour, layered textures and unusual details, from vintage-inspired teaware to oversized florals and timepiece motifs.

The goal was to create a visual direction that felt energetic and full of personality, while still giving suppliers and the school a clear framework to work from.

The styling direction focused on three key ideas:

  • Curiosity on arrival
  • Playful detail throughout the room
  • Polished execution across every element

The entry archway became a major feature of the concept. Designed to symbolise the moment of stepping into the rabbit hole, it gave guests an immediate sense of transition from the everyday into Wonderland. This was supported by quirky installations and carefully chosen décor pieces that carried the story through the space.

Our styling and production service is designed for this type of event, where the creative concept needs to be translated into a practical, professional and well-managed installation.

We also worked closely with trusted suppliers to source unique pieces that would support the theme without making the space feel overly busy. This included teapots, teacups, florals, clocks and other decorative features that could be layered into the event environment in a way that felt playful but still intentional.

Execution

On the day of the event, our team managed the installation of the themed styling elements, working within the venue’s access requirements and setup schedule.

The entry was a key priority. This was the first moment guests would see, and it needed to create excitement immediately. The archway was installed as a strong visual marker, helping frame the guest arrival experience and signalling the beginning of the Mad Hatter’s Tea Party.

Inside the event space, the styling continued across table settings, floral features and decorative installations. Mismatched teacups and teapots were used carefully to create charm and character, while oversized floral arrangements added scale and colour. Vintage pocket watch details helped tie the concept back to the Alice in Wonderland story without making the theme feel too literal.

Each element was placed with attention to how guests would move through the room, where photos would naturally be taken and how the space would look once filled with attendees.

The aim was not to cover every surface with props. It was to create a series of moments that made the theme feel alive.

Outcome and Impact

The final event environment was colourful, playful and full of personality. Guests were welcomed into a space that felt immediately different from a standard school event, with the entry installation creating a strong sense of reveal.

The Mad Hatter’s Tea Party theme gave students and guests plenty to engage with throughout the night. The styling supported photo moments, conversation and a sense of discovery, while still allowing the event to run smoothly.

The outcome reflected what Knox Grammar wanted from the beginning: a theme that felt surprising, memorable and polished.

The event also reinforced the value of an ongoing creative partnership. Because Pink Caviar Events had worked with Knox Grammar across several themed celebrations, there was a strong understanding of expectations, audience and delivery standards. This helped the process feel more efficient and allowed the creative direction to develop with confidence.

The Mad Hatter’s Tea Party is meant to feel slightly unpredictable, but a successful event cannot be unpredictable behind the scenes. The planning, supplier coordination and installation all needed to be structured so that the final experience felt effortless for guests.
