Event Overview
Pink Caviar Events collaborated with Knox Grammar School to deliver their annual themed celebration, an eagerly anticipated highlight of the school calendar. This prestigious event is renowned for its secrecy, with the chosen theme revealed to guests only on the night. That year, the magical world of Willy Wonka was brought to life, immersing attendees in a fantastical experience that combined theatrical styling with seamless event management.
From initial theme development and mood board creation to sourcing trusted suppliers and coordinating the whole event set-up, we’ve been deeply involved in delivering this unforgettable experience.
Objectives & Brief
Knox Grammar tasked Pink Caviar Events with creating a full-service themed event that captured the essence of Willy Wonka’s chocolate factory while ensuring flawless planning and execution. The brief required us to:
- Deliver a complete transformation of the event space into an immersive environment.
- Manage set-up, styling, and on-the-day operations.
The goal was to wow guests with an unforgettable themed environment that balanced imaginative creativity with professional event delivery.
Our Approach & Planning
From concept to completion, our team developed a vibrant mood board that embraced the playful, surreal energy of Willy Wonka’s world. This set the design tone early, guiding every decision from colour palette to prop design.
We commissioned custom props and oversized installations from specialty suppliers, including giant lollipops, colourful candy features, and a bespoke entrance archway that served as the “gateway” into the chocolate factory. Every detail was designed to evoke wonder and delight, from floral centrepieces with hidden golden tickets to theatrical lighting that bathed the room in whimsical colour.
Supplier coordination was integral. We managed the logistics of transporting and assembling oversized elements, ensuring all components worked cohesively within tight timelines.
Event Execution
On the night, the venue was transformed into a Willy Wonka Wonderland. A striking custom archway greeted guests before stepping into a world filled with candy-coloured props, sparkling décor, and immersive lighting. Themed floral centrepieces carried playful nods to the golden ticket, while oversized installations created Instagram-worthy moments throughout the space.
Behind the scenes, the Pink Caviar team ensured every detail, from the setup of props to the final sprinkle of glitter, was delivered with precision. On-the-day coordination allowed Knox Grammar’s staff to focus on enjoying the event, confident that logistics, styling, and guest experience were expertly managed.

Knox Grammar School is a renowned independent Uniting Church day and boarding school for boys based in Wahroonga on Sydney’s North Shore. With a rich history dating back to 1924, the school is known not only for academic excellence but also for its strong traditions, leadership programs, and focus on holistic development. Their annual themed celebration is a key social event that brings together students, staff, and guests in a memorable, creatively charged setting that reflects the values and identity of the school.
