Pink Caviar Events was engaged by Knox Grammar to deliver a fully themed event experience for their annual celebration, transforming the venue into a Willy Wonka-inspired wonderland. This event forms part of an ongoing partnership, where each year a new theme is developed and kept confidential until guests arrive.
Knox Grammar is one of Sydney’s leading independent schools, known for delivering high-quality student experiences and large-scale events. These annual celebrations are a key part of the school calendar, designed to create a memorable experience for students while maintaining a structured and well-managed environment.
The Willy Wonka theme presented an opportunity to create a highly immersive and visually engaging setting, while still ensuring the event remained controlled, safe and professionally delivered.
The Brief
The brief for this event was both creative and operational.
Knox Grammar required a full-service event partner who could:
- Develop and execute a highly immersive theme
- Manage styling and production from concept through to delivery
- Coordinate suppliers and custom elements
- Ensure the event was delivered seamlessly on the day
- Maintain strict confidentiality around the theme
The event needed to feel exciting and unexpected for students, while still meeting the school’s expectations around organisation, safety and execution.
This balance is critical in school environments, where creativity needs to sit alongside clear structure and reliable delivery.
The Challenge
The main challenge in this project was scale combined with secrecy.
Unlike corporate events where themes are often communicated in advance, this event relied on a surprise reveal. That meant every detail needed to come together perfectly before guests entered the space.
The challenges included:

- Sourcing and integrating large-scale custom props
- Coordinating multiple suppliers within tight timelines

Our Approach
We approached the event by building a clear creative direction supported by a structured delivery plan.
The first step was developing a detailed mood board that captured the tone of the Willy Wonka concept. This included vibrant colours, oversized elements and a sense of playfulness, balanced with a polished and cohesive overall look.
From there, we moved into supplier coordination and sourcing. Custom props and décor elements were selected to create a layered environment, including:
- Oversized candy-inspired installations
- Colourful floral arrangements
- Feature centrepieces incorporating themed elements
- Statement entry points to set the tone on arrival
