Event Overview
The two-day Koala Research Symposium, held at Doltone House, Hyde Park, brought together over 150 delegates, including leading researchers, conservation practitioners, and policy decision-makers, to advance the NSW Koala Research Plan. Day one focused on presenting and discussing current research on fire impacts, habitat restoration, and climate stressors.
Objectives & Brief
DCCEEW sought an event partner capable of delivering a high-impact, professionally executed symposium that facilitated robust scientific exchange and informed policy development. The key deliverables included:
- Comprehensive conference planning and logistics
- Attendee registration and smooth on-site management
- Coordination of a rigorous agenda with keynote and panel sessions
- Production support to ensure seamless session transitions
The goal: create a welcoming platform for scientific collaboration that would guide a long-term koala conservation strategy.

Our Approach & Planning
We began by overseeing the registration system setup, ensuring clear communication and a seamless check-in experience. Working closely with DCCEEW, we mapped out the venue layout, technical needs, and session flow spanning two days.
The detailed program included a Welcome to Country, presentations like “Koalas in the Landscape” and “Koalas and climate change: heat stress induced mortality,” along with culturally-informed segments such as “Two-eyed seeing for the care and repair of Country.”
We coordinated with speakers, technicians, photographers and venue staff to align timing, AV, and room transitions, ensuring each session proceeded without interruption.
Event Execution
On-site, our team managed attendee check-in, guiding delegates through registration and handing out materials efficiently. We supported presenters, ensuring microphones, slides, and visuals synced flawlessly with each session. Full-service logistics included managing catering timings, break zones, and guiding panel transitions. Throughout, we maintained clear communication with DCCEEW stakeholders to monitor the symposium’s overall flow and address any real-time needs.
Results & Impact
The Koala Research Symposium ran flawlessly across both days, achieving its goal of fostering collaboration between scientific researchers and policymakers. Attendee feedback highlighted the professional delivery, smooth coordination, and meaningful content exchange, all contributing to a shared momentum for informed conservation action in NSW.
