Event Overview

Pink Caviar Events was engaged to deliver the Koala Research Symposium, a two-day conference held at Doltone House Hyde Park. The event brought together more than 150 delegates, including researchers, environmental specialists, policy representatives and key stakeholders working across conservation and sustainability.

This was a highly structured conference environment, not just a standard event. The symposium formed part of a broader initiative to support research collaboration, policy development and shared knowledge around koala conservation in New South Wales.

Across two full days, the program included keynote presentations, technical sessions, panel discussions and facilitated conversations. The agenda required careful coordination to ensure content flowed logically while still allowing space for engagement, discussion and connection between attendees.

You can view the original agenda structure here.

The Brief

The brief was clear from the outset. The client needed a delivery partner who could bring structure and confidence to a multi-day conference with multiple stakeholders involved.

This included managing:

  • delegate registrations and attendance tracking
  • on-site check-in and badge distribution
  • coordination of speakers and session timing
  • venue logistics across two days
  • overall flow of the program

The expectation was not just that the event would run. It needed to feel organised, professional and easy to navigate for everyone in the room.

For this audience, clarity matters. Delegates are focused on content, and the event needs to support that without distraction.

The Challenge

The complexity of this event came from the format rather than the scale.

With a two-day program and multiple presenters, the pressure sits in the details. Timing matters. Transitions matter. Communication matters.

There is also a different level of expectation in these environments. Many attendees are used to structured, professional settings. They expect the event to run smoothly, with minimal confusion and no gaps in delivery.

From the organiser’s perspective, there is also visibility to consider. Events like this often sit within broader government or organisational frameworks, where outcomes need to be delivered cleanly and confidently.

The challenge was to create a delivery model that felt controlled from start to finish, while still allowing the event to feel engaging and accessible.

Our Approach

We approached the symposium using a structured conference delivery model, similar to our Professional Conference Organiser approach.

The focus was on removing friction and giving the client confidence that everything was being managed properly behind the scenes.

We started with the registration process, implementing a system that allowed for accurate tracking of attendees and clear communication leading into the event. This reduced uncertainty and ensured the event began with a strong foundation.

From there, we worked through the program structure in detail. Each session was mapped out to ensure timing, sequencing and transitions were clear. This made it easier for speakers, easier for attendees and easier for the overall event to stay on track.

Speaker coordination was another key focus. By ensuring presenters understood their timing, format and expectations, we reduced the risk of delays or confusion on the day.

We also worked closely with the venue to align room layout, AV setup and catering schedules so everything supported the flow of the program rather than interrupting it.

Execution

On-site, the focus was simple. Keep everything moving smoothly and make sure nothing feels rushed or disorganised.

Our team managed the full check-in process, ensuring delegates were welcomed, registered and directed efficiently. Badge distribution was handled quickly to avoid queues and delays.

Throughout the program, we supported session transitions, managed timing and assisted with microphones during Q&A sessions. These small details make a big difference in how the event feels overall.

We also worked alongside venue staff to coordinate catering and room resets, ensuring each part of the day flowed naturally into the next.

Our event crew played a key role in keeping everything running smoothly.

The goal was not to be visible. The goal was to make the event feel easy for everyone attending.

Outcome and Impact

The symposium was delivered successfully across both days, with strong feedback around the organisation and overall experience.

Delegates were able to focus on the content without distractions, which is ultimately what matters most in this type of event.

From the client’s perspective, the event ran as planned. There were no major issues, no disruptions and no unnecessary stress.

The structured approach to planning and delivery ensured that:

  • Sessions ran on time
  • Speakers felt supported
  • Delegates knew where to be and when
  • The overall experience felt professional and well-managed

This is exactly what success looks like in a conference environment.

Why This Worked

This project worked because the focus stayed on the fundamentals.

Clear structure, defined roles, consistent communication and calm execution.

There was no need to overcomplicate things. The strength of the delivery came from doing the basics properly and doing them consistently across both days.

For this type of audience, which builds trust. It shows that the event has been handled professionally and that the people behind it know what they are doing.

Pink Caviar Events provided exceptional support in delivering the Koala Research Symposium. Their team’s professionalism, attention to detail, and seamless coordination ensured the two-day program ran flawlessly. From registration through to the final session, the event was managed with precision, allowing our delegates and speakers to focus on sharing knowledge and building connections. The Pink Caviar team anticipated challenges, supported our presenters, and worked behind the scenes to keep the event flowing smoothly. We are grateful for Pink Caviar’s partnership and would highly recommend them for any organisation seeking expert event management for conferences or symposiums of this scale.
