Pink Caviar Events partnered with Cloud Context to deliver the Parramatta Where It’s AT Event, hosted at the historic Parramatta Town Hall. Objectives & Brief

Cloud Context engaged Pink Caviar Events to manage both pre-event guest services and on-the-day logistics, with the primary focus on ensuring a smooth and professional experience from registration through to closing remarks. The brief called for:

• Managing RSVPs and guest registrations in the lead-up to the event.
• Coordinating badge printing and distribution for attendees.
• Sourcing and coordinating an MC to host the proceedings and a photographer to capture highlights.
• Providing full on-the-day support, including guest check-in and microphone management during live Q&A sessions.

The goal was to create an event that ran seamlessly behind the scenes, ensuring the focus remained on the content and connections being shared in the room.

Our Approach & Planning

Pink Caviar Events oversaw the end-to-end RSVP process, managing registrations via our online system to ensure guest lists were accurate and easy to track. We prepared personalised badges in advance for smooth distribution on the day.

Our team also sourced a professional MC to keep the program engaging and on track, along with a photographer to capture both formal and candid moments. Supplier coordination was key, ensuring every contributor, from the AV team to the photographer, was briefed and aligned with the client’s vision.

The pre-event planning also accounted for venue logistics, with our team working closely with Parramatta Town Hall staff to confirm staging, sound, and seating layouts. A straightforward check-in workflow was developed to ensure arrivals were seamless and efficient.
