The Secrets Of Outsourcing Event Management

Outsourcing event management can save you time and stress. It can also help you create a successful event. Corporate events are a great way to build relationships with potential and current customers. However, event planning can be very time-consuming and stressful. That’s where outsourcing event management comes in.

The Secrets Of Outsourcing Event Management

Outsourcing Event Management

What is Event Management?

Event management is the process of planning, organising, and executing events. Events can be anything from small business meetings to large public events. Event management can be done by a single person or a team of people. Event management can be done in-house or outsourced.

What is Outsourcing Event Management?

Outsourcing event management (OME) is the process of contracting with an external company to provide event management services. OME can be a cost-effective way to manage large events, especially if the events require a high level of coordination and coordination between multiple departments. OME providers typically have experience managing large events and can provide resources such as marketing, security, catering, and stage management.

The Advantages of Outsourcing Event Management

1. Reduced costs: By outsourcing event management, businesses can reduce costs associated with running events. This can include hiring outside help, purchasing less-expensive equipment, and reducing the number of staff required to manage an event.

2. Increased flexibility: By outsourcing event management, businesses can be more flexible in their approach to event planning. This can allow them to accommodate a wider range of events and meet the needs of a wider range of attendees.

3. Improved communication: By outsourcing event management, businesses can improve their communication with attendees and sponsors. This can help ensure that events run smoothly.

There are many advantages to outsourcing event management. First and foremost, it can save you time and money. By contracting out the work, you can free up your time to focus on more important tasks. Additionally, outsourcing can provide a more consistent and reliable service. Finally, outsourcing can help you to scale your event management business. By partnering with a reputable company, you can take on more events with less effort.

How to Choose an Event Manager

1. Look for someone who is passionate about events and has a lot of experience managing them.

When choosing an event manager, it is important to consider a variety of factors. Some key considerations include the size and complexity of the event, the desired level of customer service, and the experience of the event manager. Additionally, it is important to consider the budget and timeline of the event.

2. Outsourcing event management can provide benefits like reduced costs, increased efficiency, and better customer service.

Outsourcing event management can provide many benefits for businesses. Reduced costs can be achieved through the use of outside contractors, while increased efficiency may be achieved through the use of technology to manage events. Better customer service may also be achieved through the use of an experienced event manager who is familiar with your company’s culture and customers.

3. Determine what type of event management service is best suited for your specific needs.

Outsourcing events can be a great way to save money while still providing high-quality services. Before choosing an event management service, it is important to ask the manager about their experience working with different types of venues and how they handle different types of events. Some venues are better suited for large-scale events, while others are better suited for smaller gatherings.

It is also important to determine what type of event management service is best suited for your specific needs. For example, some services offer complete oversight and coordination of all aspects of the event, while others provide only logistical support. Whichever service you choose, make sure that you are clear about your expectations and understand the costs involved in using that particular service.

When to Outsource your Event Management

When deciding when to outsource your event management, it is important to consider your resources and capabilities. You should also consider the time and effort required to manage an event. Ultimately, you will need to weigh the costs and benefits of outsourcing against the time, energy, and resources you have available. There is no one answer to this question as it depends on a number of factors, such as the size and complexity of your event, your current resources, and your goals. However, outsourcing your event management may be a good option.

1. When you don’t have the time or resources to manage your event yourself.

When you don’t have the time or resources to manage your event yourself, outsourcing may be a viable option. With the help of an experienced event management company, you can ensure a successful and enjoyable event. By hiring an external agency, you can save both time and money. They will be able to handle all of the logistics for you, from planning to execution, freeing up your time to focus on other aspects of your event.

2. When you need help with aspects of your event that are too difficult or time-consuming to handle on your own.

When you need help with aspects of your event that are too difficult or time-consuming to handle on your own, outsourcing event management can be a great solution. Outsourcing can include things like managing the guest list, planning and executing the event, and handling any logistics involved. This can save you a lot of time and hassle, so it’s a good idea to consider it if you find yourself struggling with these tasks.

3. When you want to focus on other aspects of your business and don’t have the time or energy to manage an event.

There are many reasons why a business might want to outsource its event management. Maybe the owner simply doesn’t have the time or energy to manage an event. Maybe the business is focusing on other aspects of its business and doesn’t have the time or resources to dedicate to event management. In any case, outsourcing can be a great way for businesses to focus on their core operations and leave the logistics of an event up to someone else.

In Conclusion

When choosing an event manager, make sure you choose someone who has a lot of experience and who you trust. There is no doubt that events are important parts of any organisation’s marketing strategy. They can help to create a sense of community among employees, attract new clients, and generate sales. But managing an event can be a daunting task, particularly if you’re not familiar with the ropes. If this is you, consider outsourcing your event management to a company that is passionate about events and has experience managing them. Not only will this save you time and money, but you’ll also get the quality service that you expect from a professional organisation.

Is a Social Media Influencer Enough To Draw People To Your Event

Just imagine the scenario: you’ve been planning this over the top experience for your event for months and weeks. Time for the event is closing in, but you still feel like you need one big clincher to get everyone on board and really bring in a crowd. And then, all of a sudden it’s there: a major social media influencer has agreed to make an appearance at your event. Things couldn’t get much better. You may think that you’re all done. That is a mistake.

Is a Social Media Influencer Enough To Draw People To Your Event

Getting Them To Say Yes!

It won’t just be enough to get the influencer or the social media celebrity to agree to appear at your function. The short answer is “yes. It can help.” The real answer is slightly more complicated than that. Having a social media influencer agree to appear at your corporate event is a great way to drive interest and to attract people to come to your event. The kicker is that it has to be done the right way. The big thing with an event is not the event itself. In fact, the most important part of the event is what happens after, and that’s why many people look to include a major social media influencer or celebrity at large gatherings.

By sharing their experiences, building anticipation, and even providing their followers with unique content or discounts, social media influencer can further personalise event advertising. Potential attendees may find the event more approachable and interesting due to influencers’ ability to produce real, relatable content.

The Goal: To Get People Talking

Social media influencer may unquestionably make a big difference in spreading the word about your event. Influencers have the ability to reach a wide audience and create buzz and excitement because of their engaged and loyal fan bases. When an influencer promotes your event, their followers are more likely to pay attention and consider going.

When word-of-mouth gets out that someone who is famous or popular is going to be at something and have something to say, it will draw an audience in, but it will also generate conversation after the event. That right there is the goal: have people talking about what happened at your event afterward. You want them to remain interested and engaged in what you are offering and why you are important.

On the surface, having a social media influencer can seem like a gimmick or a trick, but it is actually a calculated move. By having them there and endorsing your message, you will get those who take them seriously to take you seriously as well. It will bring your company more exposure, and could potentially lead to interest from other influencers in the future at other events that you may host.

So we’ve talked in detail about the benefits of having them there. And yes, there are quite a few reasons why you would want to try and get someone on board for one of your major functions. The most important thing to remember is the execution of getting that information out there. You can’t simply announce that you will have a major speaker at the last minute and hope that people will agree to come in droves. In fact, that particular aspect of the plan may backfire on you. Like any good thing, it is going to require a little bit of planning and execution for the vision to work out the way you want to.

A photo of a hand scrolling through the Instagram feed of a social media influencer

For this endeavour to be successful, you need to get the person to agree to be there in advance enough that you have time to market their appearance. Some professionals suggest a minimum of 14 weeks of social media marketing to drive interest in the event. You also need to be clear about what exactly they will be getting from this appearance, both from the audience and for the influencer. It is a great chance to let your company shine and let people see what type of people buy into what you were showing them or selling them. An influencer at your event could be a great way to drive attendance if it is planned accordingly.

The Limitations of Social Media Influencer

While social media influencers have a lot to offer in terms of promoting your event, we can’t deny that they also have limitations. For a variety of reasons, depending solely on influencers to advertise your events may not yield the expected results. Here are four of the reasons why:

Authenticity Concerns

The public has become weary of content that is overtly commercial. Social media influencers’ endorsements may not be favourably received by their followers if they come across as forced or unauthentic.

Target Audience Relevance

The demographics of an influencer’s followers and their specific areas of expertise or niche differ. The influencer’s audience may have little effect if it doesn’t match the target audience for your event.

Saturation and Competition

Social media influencers frequently promote goods, services, and events. Your event promotion may become obscured by sponsored content, diminishing its impact.

Limited Reach

Even though some influencers have sizable fan bases, their reach is still limited to social media. To reach a larger audience or people who are not on social media, this might not be sufficient.

The Importance of a Comprehensive Marketing Approach in Events

Events have a pivotal role in the success and growth of most businesses and organisations. Whether it’s a trade fair, product launch, or corporate conference, these types of events offer a distinctive opportunity to engage with the target audience.

However, arranging an event successfully involves more than just logistics and detailed planning; in order to maximise the event’s impact, a thorough marketing strategy is required. Let’s delve deeper into the significance of using a thorough marketing strategy for events and how it might improve attendees’ experiences in general.

Reaching a Diverse Audience

Oftentimes, events cater to different audiences with varying needs, preferences, and interests. Event planners can effectively target this varied demographic by using a complete and comprehensive marketing approach. Diversifying marketing efforts guarantees that the event message reaches a wide variety of possible attendees because different demographics may be active on different channels.

Building Anticipation and Awareness

An effective marketing approach builds anticipation and raises awareness of the event long before the actual date. Opting to utilise a variety of marketing platforms, such as social media, email campaigns, content marketing, and traditional advertising, can significantly help generate interest in the event. A thorough marketing strategy guarantees that more people are informed and excited about the event by reaching out to the target audience through numerous touchpoints, boosting the possibility of attendance.

Encouraging Early Bird Registrations

Early-bird registrations are essential to the success of an event. A comprehensive and detailed marketing strategy includes strategic early-bird offers and promotions. Event organisers can encourage attendees to reserve their spots far in advance and ensure a solid initial attendance by providing special discounts or exclusive benefits to those who register early.

Personalisation and Tailored Messaging

A photo of a social media influencer's hand holding a phone

Personalisation and tailored messages to different parts of the audience are possible with a thorough marketing approach. Event organisers can give personalised information and communication to attendees by segmenting the audience depending on their interests or preferences. This makes the event more relevant and engaging for each attendee.

Leveraging Social Media for Engagement

In recent years, social media platforms have evolved into effective and powerful event marketing tools. To engage the audience, a comprehensive approach leverages the strengths and capabilities of each platform. Using Facebook for event pages and community participation, Instagram for visually appealing content, Twitter for real-time updates and conversations, and LinkedIn for professional networking can help to develop a comprehensive social media presence that will increase engagement and connection with attendees.

Harnessing the Power of Social Media Influencer

As mentioned above, social media influencers can be valuable partners in promoting events. The reach and credibility of the event can be increased by interacting with influencers who are in tune with its theme and target market. Influencers can add a personal touch to marketing initiatives by producing authentic content, sharing their enthusiasm for the event with their followers, and encouraging them to come.

Post-Event Engagement and Follow-Up

A thorough marketing strategy goes beyond the actual event. To keep guests engaged and connected after the event, it is crucial to include a post-event engagement strategy. Following up with participants after an event via emails, surveys, and content sharing will help you keep in touch with them and collect input for future improvements.

Conclusion

Even though they can be helpful collaborators in event promotion, social media influencers ought to be just one component of a comprehensive marketing plan to draw people to your event. As such, it is important to utilise different approaches and strategies for your event to be successful, such as incorporating email marketing, event partnerships, social media advertising, and content production.  Integrating social media influencers’ impact with other marketing platforms can ensure a successful and well-attended event.

How To: Create Your Own Signature Wedding Cocktail

Cocktails are great at weddings, they add this little bit of piazza and customisation through a tasty beverage. Most of the time, your reception may offer a selection of cocktails for you to offer guests but the simple fact is… they are common. Are you looking to create your very own and one of a kind signature wedding cocktail? Then you have come to the right place.

Creating Your Own Signature Wedding Cocktail

Getting Started

There are a few things to consider when putting together your own signature wedding cocktail. Not sure where to begin, well how about starting with what you have at home. I personally use a website called Cocktail Builder to help inspire me for new cocktails or to see what I can make with what I have at home. While the cocktails are not new, its a great way to see what works well together. It is also a great way to get rid of that lychee alcohol you bought that no one drinks (I should, know I bought some… no one liked it).

Style And Colours Of The Wedding

Firstly do you want it to be in the theme of your wedding? For example, if you have a set of wedding colours and you want it to match. The style of the cocktail should also match the wedding atmosphere. If you have a Gatsby, retro or chic style wedding then a cocktail in a traditional martini glass would suit better.

What’s Your Flavour

Sit down with your partner and discuss what flavours, alcohol beverages and other elements that you like. For example, I am a vodka person who likes strong salty flavours which is why I like a Dirty Vodka Martini. My wife, on the other hand, likes rum and berries such as raspberries, black currents and so on. Once you can work out a common ground of flavour that you both like then you can move on.

If you are unable to find common ground then another idea is to have 2 cocktails instead. This way you can both express yourselves all while giving variety to your guests.

Get Mixing

Once you have a basic understanding of the types of alcohol, style, flavour and so on you are ready to begin. To help you out a basic cocktail will consist of the following:

  • 2 – 3 Shots Of Alcohol (each shot is 30ml)
  • 2 – 3 standard ice cubes
  • The remainder is soft drink, fruit juice or soda water

Please note with the above its a rough guide (believe it or not there is serious debate amongst cocktail purist of the right ratios right down the type of ice used).

Garnish

So now you have your ideal drink / drinks and you would like to top it off nicely. There are many options such as a whole berry, various leaves like in a mojito, a tiny umbrella, salty rim and so on. If it is in theme with your wedding you can get wedding themed toothpicks (my favourite are the tiny swords 🙂 ). You can even leave it plain for a classic look.

The Name

After you have created your concoction you can give your signature wedding cocktail a name. If you have a couple name you can call it after that just like ‘Brangelina’. If you do not have a couples name you can simple call it by your first names EG the Jane & John Super Cocktail. At the end its all about what you and your partner are comfortable with.

Pro Tips:

  • Take note of the brands of alcohol you use. If you give this to a venue to make they will have their own brands of alcohol which could alter the taste of your drinks considerably. A good idea is to slowly buy the alcohol you desire leading up to your wedding when there are specials on. That way not only will you save a lot of money BUT you will guarantee that what you mix at home will be the same for the guests.
  • Make sure you inform your venue of the exact ratios/measurements of the ingredients for the cocktail. If you simply tell the venue “just a couple of shots of this or a partial shot of that” its anyone’s guess what you exactly mean. Obviously, this will not only change the flavour of the drink, its strength but also how much the venue uses. A shot of vodka (30ml) may not sound like a lot BUT even if the average guest has 1 cocktail and there are 100 guests that is 3 litres of vodka and a big taste difference for everyone.
  • Have your friends and family around for a party where you can try out the drinks and test them on the general public. While it is your day, you do not want a drink no one likes.
  • A unique way to bring your future father-in-law and/or father is once they have tried your drink they can help “PUNtificate” you drinks. Being fathers they are experts at dad jokes and puns. Even if they don’t get the vote of the final name they can help inspire you and worst case have a laugh and a drink with them.

Congratulations after all that you have your very own signature wedding cocktail that you can share with your guests and truly call it your own. Please note that to truly give the best insight and knowledge for this blog. I personally made myself my favourite cocktail which I affectionately call the ‘Dirty Dimitri’ which is a variant of the Dirty Vodka Martini. While it was a difficult task I drank my drink in order to get into the true mindset of a cocktail.

Star Trek Themed Cocktails For Your Wedding Event

Saurian Brandy

Made famous on the original series of Star Trek, it was a popular drink that was served on the USS Enterprise. It was referenced in almost every Star Trek Series and the movies. It has stood the test of time. In simple terms, it is a brandy that the crew of Star Fleet enjoyed.

Ingredients

  • 45 ml Vanilla Flavoured Vodka
  • 30 ml Banana Liqueur
  • 15 ml Chocolate Liqueur

In a mixer, combine the vodka and banana liqueur with ice. Shake ingredients and pour into a chilled martini glass. The final step is to gently pour the chocolate liqueur down the side of the glass. This is so it sinks to the bottom and forms a layer and if you like, you can garnish with a maraschino cherry.

img-13

Borg Queen

Some argue that the Borg Queen was the most feared villain in the Star Trek Universe. With billions of Borg Drones at her disposal combined with an incredibly advanced alien race, she was a formidable foe.

Ingredients

  • 30 ml Green Apple Flavoured Vodka
  • 30 ml Sour Apple Schnapps
  • 30 ml Apple Schnapps
  • Splash Sweet & Sour Mix

In a shaker, combine all ingredients with ice. Shake gently and then strain ingredients into a chilled martini glass. For some garnish, you can add some apple flavoured sugar around the rim of the glass. The sugar can be found at most liquor stores, if not then you can either order it online.

Raktajino

Can’t get up without your morning cup of coffee? Well in the universe of Star Trek people do not drink coffee, they instead drink Raktajino which is a Klingon Coffee! This coffee drink made famous by Star Trek: Deep Space 9. The crew would always be seen drinking the beverage around the station and the famous Quark’s Bar. As far as Star Trek themed cocktails goes, if you feel it’s going to be a long night then perhaps this coffee flavoured mix will hit the spot.

Ingredients

  • 30 ml Coffee Liqueur
  • 30 ml Chocolate Liqueur
  • 15 ml (About Two Squirts) Chocolate Syrup
  • 30 ml Butterscotch Schnapps
  • About 30 ml Half & Half

In a mixer, combine the alcohol and chocolate syrup and shake vigorously. Add the half & half and shake gently. Do not shake too hard or it will get too frothy. Pour over ice into a tall glass and enjoy.

img-14

Stardrifter

Another drink that was drunk in Quarks Bar on Star Trek: Deep Space 9 was called the Stardifter. It was first seen by Major Kira Nerys when she would go to Quark’s Bar on Deep Space 9. She was asked how negotiation between the two alien races were going at the time. Kira then replied that she needed a ‘Double Stardrifter’.

Ingredients

  • 30 ml Orange Flavoured Vodka
  • 30 ml Alize Red Passion
  • 15 ml Banana Liqueur
  • About 30 ml Orange Juice
  • About 30 ml Pineapple Juice

This drink is layered. Make sure you follow the instruction carefully. Firstly, fill a tall glass with ice then pour in the vodka, orange and pineapple juice. You can pre-mix these other beforehand to make things easier, then add Alize so that it sits on top. It may mix a little but do not worry it will taste fine and practice makes perfect. Last but not least float the banana liqueur on the top and enjoy!

Pattern Buffer

What is a Pattern Buffer I hear you ask? Well technically speaking when people in Star Trek teleport to and from star-ships, planets, bases etc their ‘being’ is put into a ‘pattern buffer’ in the computer so they can teleport and end up looking how they started before they teleported.

Ingredients

  • 30 ml Coconut Rum
  • 15 ml Grenadine
  • 30 ml Midori
  • 30 ml Creme De Banana Liqueur
  • 90 ml Pina Colada Mix (Liquid, Not Powder)

Pour the Malibu rum, Midori, creme de banana, and pina colada mix into a blender. Secondly, pour around a half cup of ice and blend until it is smooth. In a tall glass, pour in the grenadine. Lastly, slowly pour the frozen mix from the blender into the glass. This gives it the swirled effect you see on the TV show.

Risa Colada

This drink has a fun connection to the TV show. The planet Risa was a ‘pleasure planet’ which was famous for people to come and visit on holiday. The entire planet was automated to have perfect weather for everyone. The tropical climate and fun amenities made it the perfect getaway.

Ingredients

  • 45 ml Coconut Rum
  • 60 ml Pina Colada Mix (Liquid Mix, Not Powder)
  • 15 ml Blue Curacao
  • About A 60 ml Scoop Of Ice Cream

This is a swirled drink so follow along carefully to get the best result. Put all the rum, pina colada mix, and ice cream in a blender. Secondly you need to add around a half cup of ice and blend until smooth (add more ice if necessary). Thirdly in an empty glass, pour the .5 oz of blue Curacao. Lastly, you need to slowly and gently pour the frozen concoction into the glass with Curacao to get that swirled effect. Enjoy as is or top with whipped cream.

Orion’s Belt

Interesting enough, Orion’s Belt is a real constellation in our own universe. The reason for this drink being on the list is because James T Kirk mentioned it in the original series when he travelled back in time to the 1930s. Kirk pointed out a star in Orion’s belt. The star he pointed out was from a very famous original series episode.

Ingredients

  • 15 ml Midori
  • 15 ml Coconut Rum
  • Splash Of Pineapple Juice
  • Splash Of Half And Half

Put all the ingredients into a cocktail mixer with ice, shake, strain into a shot glass and enjoy.

Fun Fact: The ‘T’ in James T Kirk stands for ‘Tiberius’, whom he got from his paternal grandfather Tiberius Kirk

Harry Mudd

Harcourt Fenton Mudd was a con artist in the original series of Star Trek. An interesting man who made 500 copies of his wife to remind him that he did not miss her.

Ingredients

  • 15 ml White Crème De Cacao
  • 15 ml Irish Cream Liqueur
  • 15 ml Butterscotch Schnapps
  • 15 ml Goldschlager

Pour all the ingredients into a mixer and shake, strain into a shot glass.

Cardassian Cooler

The Cardassians were first brought to the screen on Star Trek: Deep Space Nine as a major race in the series. They were known for being extremely ruthless and one of Starfleets greatest enemies.

Ingredients

  • 15 ml Midori
  • 15 ml Citrus Flavoured Vodka
  • 15 ml Orange Flavoured Liqueur

Combine all ingredients into a mixer with ice. Shake well and strain into a shot glass.

8 Different Wedding Style Ideas You Can Choose From

If you’re searching for the best wedding style theme, we have rounded up the 8 best different wedding style options to choose from.

  1. Modern Chic

If the couple prefers a sleek and sophisticated celebration, opting for a modern-chic wedding style is the best option. In this kind of theme, you can opt for a minimalist venue with natural lighting and clean lines, such as a modern art gallery. You can try utilising a monochromatic colour scheme like grey, white, and black. This modern aesthetic can be enhanced with geometric patterns, streamlined furnishings, and creative floral arrangements. Encourage visitors to dress in chic, current fashion.

  1. Classic Elegance

A classic elegant wedding style is the perfect theme for couples who love and appreciate timeless beauty. You can think of a well-refined and sophisticated venue with grand architecture, such as a historic manor or ballroom. Choose a neutral colour scheme with accents of gold or silver, and add classic features like crystal chandeliers, lace trimmings, and formal table settings. The elegant ambiance is further enhanced by a black-tie dress code for visitors.

  1. Vintage Glam

With a vintage-glam wedding style that oozes old Hollywood charm, travel back in time. You can choose a glam venue, like a grand hotel or a vintage theatre, and fill it with lavish details like velvet drapes, old candelabras, and gilded frames. You can opt for a rich colour scheme, such as deep burgundy and gold, and include vintage-inspired accents in your decor and attire. You can think of those classic lace wedding gowns and well-cut suits with bow ties and suspenders.

  1. Whimsical Wonderland

A whimsical wonderland wedding style will allow your creativity to soar. You can try embracing vivid hues, playful designs, and fantasy décor accents like fairy lights, hanging lanterns, and eye-catching, colourful balloons. Make sure to choose a venue that is outdoor or in a garden, and add mystical elements to it, like a flower petal aisle and a fantastic picture booth. You can also encourage guests to wear creative outfits and include exciting surprises, like a dessert bar with unique desserts.

  1. Rustic Romance

dinner reception wedding event table decor rustic

Embrace the beauty and glamour of the countryside with a rustic romance wedding style. You can pick a garden, barn, or farm as your venue and decorate it with natural elements like burlap, wildflowers, and wood. A warm and cosy ambience is produced by soft pastel colours and vintage-inspired accents like wooden signs and mason jars. Suspenders for men and boho-chic dresses for women are some examples of comfy, casual clothing that enhances the laid-back ambiance.

  1. Beach Boho

For a beachy boho wedding style, try embracing the bohemian spirit by fusing it with a laid-back beach ambiance. Choose a location or venue near a sandy beach or a coast that offers stunning ocean views. You can utilise natural elements to decorate, such as driftwood, seashells, and tropical flowers. Beautiful clothing with a boho flair can be made from soft, flowing materials like chiffon and lace. Don’t forget to include environmentally friendly elements like recycled paper invitations and bamboo plates.

  1. Vintage Travel

A vintage travel wedding style is ideal for the wanderlust couple. In this theme, you can take inspiration from different travel eras, such as the Golden Age of Travel or the Roaring Twenties. You can use vintage globes, luggage, and postcards to decorate the venue. Additionally, you can utilise a travel theme in your table and stationery settings or have a map-theme guest book. Encourage guests to dress in attire inspired by various cultures and destinations.

  1. Enchanted Forest

If both couples want to create a fairytale-like atmosphere, opting for an enchanted forest wedding style is a perfect option. Make sure to choose a woodland venue with a tranquil ambiance and towering trees around. You can use plenty of greenery, moss, and twinkling lights to evoke the feeling of being in a magical forest. You can add woodland creatures when designing the venue, such as butterfly accents and deer figurines. As for the attire, you can incorporate ethereal gowns with floral crowns for brides and earthy-hued suits for grooms.

Wearable Wedding Tech For The Bride & Groom

Sometimes when a couple get married they want to be at the forefront of wedding trends. This can range from styling, concepts and even clothing. One such trend in modern times is the growth of wearable tech and most commonly known as smart watches like a FitBit or Apple Watch for example. We like to call this wearable wedding tech.

Wearable Wedding Tech

While these days its very common to have these items, there is a time and place for these things. There that line which “is it more tech looking than watch and will I regret wearing that in 20 years time?”. While it might seem like your on the cutting edge, later in life you might see your photo and think “WTF!”. You will want to choose technology that is not only functional but also look good. Lets see whats out there today for wearable wedding tech.

Wearable Wedding Tech Cat
Too Techy?

Smart Watch

Lets start with the obvious and most common wearable tech which is the smart watch. Having been around a few years, they have advanced quite rapidly in ability and design. The 2 of notable exception is the Apple Watch 2 and Samsung Gear 3 which are on the upper end of the market. These look like a more stylish and traditional watch. There are other option such as the FitBit but these are more targeted towards the fitness market. On a side note they do not look as aesthetically pleasing.

Smart Belt

You are probably thinking “when did they invent a smart belt?”. Well they are newer to the market an there are not that may of them but they do exist. There are 2 main mentions in this category. The Samsung Welt which tracks your waistline, if you are overeating and so on. This is great especially at weddings when people eat too much. It also looks like a traditional brown belt and none would be the wiser. The other option is Belty the smart belt that not only tracks your walking amongst other things can can also self tighten. The good thing about Smart Belts as far as wearable wedding tech goes, they are virtually indistinguishable from regular belts and not a “Batman Utility Belt”

Glasses

Everyone has heard of Google Glass and think that was the end of it. Turns out that there are a variety of augmented reality smart glasses that look nothing like Google Glass did. They look like normal glasses and give you relevant information. There are other smart wearable glasses that can take photos (IE your at a wedding and you can take a photo without anyone knowing and getting in someones way). They are generally bulky, obvious, low battery life and make you look like a super nerd.

Smart Rings

These devices have been around for a few years now. They have not become as popular as their cousin the smart watch. Simple in design, these rings are more for notification than obtaining steps for example. They vary from a simple flash of light to a mini LCD display. They are great for people who do not want to wear a smart watch but would like something easily accessible to see phone notification without pulling it out of their pocket.

Because these devices are minimalist they boast great battery life. Two notable smart rings are Rirgly which is a more stylish ring that look like a giant gemstone on the front. There is also the NFC Ring which is the worlds first NFC based Smart Ring. This is able to make payments and even unlock your front door (if it uses NFC technology.
Please note: These do NOT make good engagement rings!!!

Your Choice

If you decide to have wearable wedding tech at a wedding (your wedding or a guest) follow these simple rules. They are to not only look great but also be the most up-to-date person at the wedding.

  1. Choose a device that looks stylish and not straight out of a sci-fi movie
  2. If wearing any smart wearable device at a wedding, turn off all beeps, flashes and vibrations. This is to not interrupt the festivities.
  3. Make sure your device is fully charged before bringing it as you will be no near power for many hours. It can easily be drained before the night’s over.

Also if you are going to have some wearable tech on your wedding day, see if you can have it match your wedding style so everything complements each other.

Are you going to wear any wearable wedding tech at your wedding? Are their any devices you can not do without on your wedding day? Let us know down below and join the discussion 🙂

Why You Need A Destination Event Management Company

Planning an event is an undertaking by itself just from the sheer amount of considerations that have to be made, and that can be stressful even working locally. You may be planning a conference in a new locale, or you simply may have incentive events to hold for top performers in your company. A destination event management company can help make that happen.

Why You Need A Destination Event Management Company

Why You Need A Destination Event Management Company: A photo of the Sydney Harbour Bridge

If it is not a field that you are familiar with on a regular basis, event management can quickly spiral into something that you weren’t expecting to be quite as difficult as it actually is when you look down at all of the fine details that have to be considered. And that is just working with a place you know. It turns into a whole different ball game when you decide to take your event to another destination.

Sometimes you’ll be considering an event that requires you to go elsewhere in the world to make sure that you put on the right kind of event. And when you stop to consider where that event takes place, the only logical explanation is that that event takes place at a destination location.

You will need somebody to help you handle getting everything together and making sure that the event is ready to happen once you reach where you are going. You may be hosting some type of incentive-driven event that takes people on an exclusive trip to another location, you may be organising a company retreat for some well-deserved rest and relaxation, or you may simply be going to meet with business partners elsewhere.

Benefits of a destination event management company

A destination event management company is going to have many of the same benefits that a regular event management company has. Their added bonus is that they are able to do all of these while working remotely or working from great distances. They can even help with conference event management, which will require a grander plan than a typical event.

They have the ability to get all of the skills and necessities that you will need at your destination organised, ready to go, and physically available where you need it and when you need it.

When you’re travelling elsewhere for an event, you are not just planning the event. You have to coordinate getting all of the necessary people in supplies to the location in a timely manner. You need to follow all available local laws and customs to avoid any sort of issue that may arise. You need to make sure that everyone has places to eat and places to sleep.

There will also need to be considerations made for entertainment when the amine event is not taking place. What will everybody do or see when they are not completely focused on the main event? What will they do with their downtime? A destination event management company will help you consider all of these things and help plan for them.

What they do for you

7 Reasons Why You Need A Destination Event Management Company

Planning and executing a great event is no easy task, and the problems can compound when the event is held in a different location. The complexities of arranging an event away from home, whether it’s a corporate conference, a wedding, a product launch, or a celebratory gathering, can be overwhelming. A destination event management company can help with this.

Here are seven reasons why you need a destination event management company to ensure that your event is not only successful but also memorable for everyone involved.

1. Expertise in Local Logistics

One of the most important benefits of working with a destination event management company is their knowledge of local logistics. In-depth knowledge of the region is necessary to navigate the complexities of a foreign place, from transportation and lodging to local laws and permits. A reliable event management company will be able to streamline the planning process and guarantee smooth execution because they will have developed ties with regional suppliers, venues, and service providers.

2. Cultural Sensitivity and Local Knowledge

Every place has its own distinct cultural quirks, traditions, and etiquette. Failure to recognise and take into account these cultural characteristics can result in miscommunications or inadvertent offences at your event. The cultural sensitivity and local expertise required to plan an event that respects and celebrates the destination’s past will be possessed by a destination event management company with experience in the area. This not only improves the experience for your visitors but also contributes to the overall success of your event.

3. Cost Efficiency and Budget Management

Unlike popular opinion, employing a destination event management company can help you manage your budget more effectively. These professionals are well-versed in local market pricing, helping them to strike advantageous deals with vendors and suppliers. Furthermore, their budget management skills guarantee that your event stays under budget while still providing a high-quality experience.

4. Mitigating Language Barriers

When planning and conducting an event in a foreign location, language difficulties can present an array of challenges. Miscommunication can result in misunderstandings, delays, and even fatal errors. A destination event management company with multilingual staff can bridge these communication gaps, ensuring that your vision is accurately communicated to all stakeholders.

5. Time Zone Management

Logistically speaking, coordinating across time zones may be a headache. Delays in communication and decision-making can have a considerable negative influence on the planning process if they are not well managed. By operating in the local time zone, a destination event management company not only promotes effective communication but also guarantees that duties are completed quickly, reducing unneeded stress.

6. Unique Experiences and Creativity

When holding an event in a different location, you have the chance to provide attendees with a memorable experience. A destination event management company is aware of how to use the location’s resources to produce unforgettable experiences. Their inventiveness can turn your event from ordinary to remarkable by combining local cuisine, customs, or entertainment.

7. Stress Reduction and Peace of Mind

It can be difficult to plan an event, and the difficulties increase when working with a new venue. You can concentrate on your position as the host or organiser by leaving the specifics in the hands of a destination event management company without having to worry about managing logistics. Their expertise and thorough approach give you peace of mind, so you can enjoy the event with your guests.

Plan Your Work Christmas Party Early

Planning your work Christmas Party/ end of year celebrations are one of those tasks that you need to start early. Your event will depend on the size of your organisation, budget, branding requirements and so on. It is also one of those tasks that you need to do on top of your existing work and can be quite time-consuming. This can also creep up on you. While people have months to plan the Christmas party, too many often leave it till the last minute and then scramble to put something together. So let’s take a look at why you should plan your work Christmas party early.

Why You Should Plan Your Work Christmas Party Early

Christmas Party Lunch Set Up

Get the date you want

Let’s face it, December is a busy time for parties. It’s not just about organising a great work Christmas party/gala dinner, you must also compete with other events that are held around the same time. This can be from other Christmas parties that family/friends have organised, other work parties that staff or clients can be invited to and so on. By settling on a date early, then you can lock in what is available at the time and make a lot of timely and cost-effective decisions. You can also invite tour guests early asking then to  save that date. If you leave it late then you are left with whatever is left and have to make do.

Many more venues are available

This may seem obvious but Christmas parties are held at venues and various locations. The more popular ones get booked out early so it makes sense that once you know the day you want for your event then you can check and confirm availability of all the venues that meet your criteria. This is especially important for larger companies who have hundreds of employees that will attend the event. There are only so many venues that have a larger capacity compared to others. If your prefered venue is taken then you may have to settle for one that is further away for everyone. This may impact the turn out for the event.

FUN FACT: Site inspections take time as you have to travel to various locations. This is to make sure they hold up to your requirements. While on paper, many venues seem ideal, only when you visit the location firsthand do you get a true understanding of the space and how it can be used. If you are working and planning the event, it will take time away from work. This is where one of our corporate event planners will come in handy to help save you time and money.

Send out invitations in advance and get RSVPs early

The last thing you want to hear is that someone cannot attend an event because they have to attend another Christmas party/function. If you organise the event then once the date and location have been sent you can start to organise invitations. As mentioned above this time of the year is full of many Christmas parties, Gala dinners, weddings and so on.

If you send invitations early then you will rarely hear someone say they can not attend. Plus it is a matter of courtesy to give people plenty of time and prepare their calendar. If you do not give people enough time to RSVP then they simply may not be able to attend. If you do not give people enough time to RSVP then the below can happen.

TRUE STORY: Many years ago I had a friend who was getting married in Queensland and I was in Sydney. He had forgotten to send the invitations and only sent them out days before his wedding. I did not check my letterbox till Monday and obviously did not attend. Had I received the invitation beforehand I would have attended. When I spoke to him he apologised and said only a handful of people attended. The moral of the story is “Send out your invitations with enough time for people to respond and plan for”.

Much more entertainment availability

In the same position as venues, entertainment options can also get booked out. Some singers/DJs/entertainers are highly sought after and can be booked out years in advance so you will need to book early. Other entertainment options such as photo booths or the ever tasty candy buffet can also get booked out. There are also some specific Christmas decorations/props which are very popular during the Christmas season such as Christmas themed decorations such as our White Thrones which are great for Santa to sit on.

Keeps costs down

This principle applies to many things in life, where if you book early and you can potentially save money. If you plan your work Christmas party late and book everything with only a few weeks or days then the prices can go up considerably. This is because spaces and times are already filled and the rest are filling up fast. By booking your venue/suppliers in advance then you can keep the costs down quite considerably and in some cases get a discount.

Save time and minimise stress

Do yourself a favour and book your work Christmas party early. Take a look at using one of our corporate event planners to help save you a lot of time and money while also delivering a top-notch event. This means that everything is already prepared and organised. You won’t have to do the last minute ‘run around’ stressing out your mind seeing what is available (if at all) all while keeping costs down.

9 Essential Tips to Plan Your Work Christmas Party Early

A photo of employees enjoying the Christmas party night with these photo booths!

Organising a company Christmas party can be a daunting task for everyone, not only for first-timers but even with an experienced planning committee team. You need to consider various things to ensure that the Christmas party will be memorable and successful. Here are 9 essential tips to help you prepare for your work Christmas party early:

1. Form a planning committee

Ensure to form and assign a dedicated team to handle the entire party’s preparations. This planning committee can brainstorm ideas for the flow and theme of the Christmas party and oversee the whole planning and execution process.

2. Delegate responsibilities

Once you create a planning team, now is the best time to divide the tasks among the committee members. This ensures well-coordinated efforts and lessens individual burdens among members.

3. Conduct a survey with all employees

You can organise a survey for all employees to gather input on their preferences for the Christmas party. Within the survey, you can ask about their preferred dates and activities and if there are any special considerations they have. This kind of involvement will make employees feel included and valued, as well as enhance their enthusiasm for attending the event.

4. Ensure that you select the right venue

One important factor to consider when planning a work Christmas party is the location of the venue. Make sure to choose the right venue with great facilities that can cater to the number of employees who will attend. To ensure you pick the right venue, visiting potential locations earlier should be on your to-do list.

5. Plan the menu

Plan ahead and work with the catering team to design a menu that caters to different dietary preferences and needs. That being said, make sure to have an option for both vegetarians and non-vegetarians.

6. Arrange entertainment early

Whether it’s a DJ, a live band, or any interactive activities, arranging an early meeting with involved people is crucial. This helps avoid any last-minute availability issues for these artists.

7. Organise transportation

If you pick a location that is not easily accessible to all employees, make sure to arrange a transportation option so that everyone can attend the Christmas party. This can help encourage employees to attend the party.

8. Make sure to send invitations early

Once the planning team confirms the date of the Christmas party, it is important to start sending out save-the-date notifications to all employees. This allows them to plan around the event and avoid any potential conflicts.

9. Follow Up

As the date of the Christmas party nears, make sure to follow up with vendors, the catering team, entertainers, and the venue to confirm arrangements. Also, don’t forget to double-check all the details related to the event to avoid any last-minute surprises or issues. This ensures that you’ll have a smooth Christmas party night that is memorable for all employees.

Conclusion

The primary key to a successful and enjoyable holiday celebration is to plan your work Christmas party early. By planning early, you can secure the right and best venue location, arrange personalised activities, and ensure a high number of employees attend the event. A successful Christmas party will not only give a joyful break from work but also promote a sense of camaraderie and appreciation among all employees. So, make sure to gather your planning committee and make this year’s work Christmas party memorable and successful.

Event planning can be a major ordeal if it isn’t something your company typically does. In fact, it’s something that not a whole lot of companies do on their own anymore. Frequently, when an event needs to be planned or scheduled, companies are outsourcing the work of getting their corporate functions planned by partnering with an event company, an outside agency that specifically focuses on such tasks.

They not only help you get your events together, but they come with the added benefit of knowing how to execute a vision and make everything run smoothly on the day of the event.

Top 11 Benefits of Partnering with a Professional Event Company

Benefits of Partnering with a Professional Event Company

1. Increased foot traffic and business opportunities

Large, well-known event companies often partner with smaller businesses to provide added context and attraction to their events. This not only benefits the small business in terms of increased foot traffic and business opportunities but also establishes a mutually beneficial relationship between the two organisations. Working together can create a more successful event and create lasting connections between the businesses involved.

2. Reduced operational costs

When it comes to reducing operational costs, partnering with an event company can be a great solution. The event company will handle all of the logistical details, from planning and coordinating the event to managing the logistics and security. This way, you can focus on your core business goals, such as marketing and sales.

In addition to saving on operational costs, partnering with an event company can also help you build relationships with potential customers and promote your brand in a powerful way. So whether you’re looking to reduce overhead expenses or grow your business through powerful partnerships, working with an event company is a great option.

3. Increased brand awareness and exposure

Event companies can provide an increased level of brand awareness and exposure for businesses when partnering with them. By working together, both businesses can build a relationship that highlights the strengths of each party and creates a synergy between the two organisations. This relationship can help to build trust and create lasting relationships that benefit both businesses.

4. Improved customer service

When partnering with an event company, it is important to ensure that customer service is improved. With a team of professionals on hand to manage logistics and ensure a smooth experience for attendees, guests can fully focus on the event itself. Furthermore, by working with an event company, businesses can benefit from increased exposure.

By partnering with a reputable organisation, businesses can draw in potential customers who are interested in events similar to those being hosted by the company. In addition, working with an event company can save businesses time and money. By handling all aspects of the event, companies can avoid hassles such as coordinating registration, setting up tents and marquees, and more.

5. Increased event production value

There’s no denying that having a professional production company on board can add an immense amount of value to your events. From ensuring that all elements of your event are flawlessly executed, to offering unique and exciting features not typically available at smaller venues, partnering with a top-notch production company can really make a difference.

One of the biggest benefits is that you can take advantage of their vast experience and resources. This means that your event will look and feel more polished than if you attempted to do everything yourself, without the help of a professional team. Additionally, production companies often have connections with other vendors who can provide additional services (such as sound or lighting) that would add even more value to your event.

Considering how beneficial partnering with an event production company can be, it’s definitely something to consider when planning your next big celebration. Whether you need help with all the logistics or just want to ensure a high-quality product is delivered on time and within budget, working with one of these talented professionals should be at the top of your list!

Partnering with an event company

6. Greater flexibility in planning and execution of events

When an organisation decides to partner with an event company, they are gaining a wealth of flexibility that can be put to use in planning and executing events. With this level of control comes the ability to tailor the event experience to best meet the needs of attendees, as well as the ability to manage expectations more easily. This increased level of flexibility often allows for greater creativity and innovation when it comes to content and logistics, two key areas where organisations want to shine.

Additionally, partnering with an event company often provides organisations with more experienced professionals who can help ensure smooth sailing from beginning to end. By taking advantage of all that a partner can offer, organisations can create unforgettable experiences for their attendees while freeing up valuable resources for other areas within their organisation.

7. Reduced risk associated with event production

Event production can be a very risky business. However, by partnering with an event company, you can reduce the risk significantly. Event companies have years of experience in the industry and are well-equipped to help you organise and manage your event smoothly and safely. In addition, they are familiar with all the necessary regulatory requirements and can provide guidance on how to adhere to them.

Finally, event companies have a large network of clients who are likely to refer your event business opportunities. By partnering with an event company, you can ensure that your event is a success and avoid any unnecessary risks.

8. Customer and business satisfaction when partnering with an event company

The biggest selling point of partnering with an event company is that they have unparalleled customer satisfaction. The first customer an event company has to satisfy is you, and to do that, they must consider your goal of pleasing your guests.

Event planning is centred around recommendations, and an event planning company will know this and do everything in its power to make it a positive experience. They also know that you have your goal of pleasing those who will be at your event and will be conscious of this fact throughout working with you.

They take over organising the event, leaving you to focus on being a good host and attentive to your guests. This way, everyone wins.

9. Executing your vision with expertise when partnering with an event company

Event planners and event companies come in and are paid to listen to their customers’ vision about their event, take the budget and timeframe they’ve been given, and create something magical from there. You know that you’ll get something that is exactly what you asked for and even have the potential to be better than what you expected.

An event planner finds the happy medium between all these areas to bring the physical idea to life. Not only can they take your ideas in and create something from there if you’re on the other end of the spectrum and not entirely sure what you need, but they can also help you construct and execute your vision.

10. Professional delivery when partnering with an event company

When all the organising, shopping, and planning has come to an end, you have to put on your event. Knowing that you’ve hired a professional company to come in and handle everything from the beginning gives you peace of mind because you know that the surprises on the day of your event will be limited. And, in the event that they do come up, your event coordinator is right there to handle them with grace and professionalism.

11. Building awareness and brand knowledge when partnering with an event company

At the end of the day, they know they are trying to make a memorable product through your event and, hopefully, by extension, make your business unforgettable. They make an amazing event that people will be talking about for a while yet to come. No matter the time of the decade, the best way to grow a business has been through word of mouth, and by helping to establish the vision of your company and knowledge of your brand, an event company is working to make that a reality for you, one event at a time.
